WMH Project is a French simplified joint-stock company (société par actions simplifiée) with a share capital of €373,337.70, registered with the Nanterre Trade and Companies Register under number 402 423 420, whose registered office is located at 4, place des Saisons, 92400 Courbevoie, France. The WMH Project group is made up of several subsidiaries specialising in the organisation of professional events and travel, and in the creation of stands and content.
In accordance with Article 27 of the GDPR, WMH Project, a simplified joint-stock company with a share capital of €373,337.70, registered with the Nanterre Trade and Companies Register under number 402 423 420, whose registered office is located at 4, place des Saisons, 92400 Courbevoie, is the representative designated by the WMH PROJECT group within the European Union.
WMH Project's priority is to continuously improve its services in order to best meet the needs of its Clients.
To that end, we may collect and record certain information, including personal data, about individuals such as you.
The protection of your personal data is something we take very seriously throughout all of our business processes, and a matter on which we wish to be transparent.
The purpose of this document is to define the conditions under which WMH Project undertakes to manage the processing of personal data.
Within the framework of their contractual relations, the parties undertake to comply with the regulations in force applicable to the processing of personal data and, in particular, Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016, applicable as of 25 May 2018.
It would be very difficult, if not impossible in most countries, for us to offer you our services if you do not authorise us to process your data.
Accordingly, by providing personal data to WMH Project, you acknowledge the legally binding nature of this Privacy and Data Protection Policy, as it may be amended from time to time, and expressly consent to it.
1. SCOPE
This Privacy and Data Protection Policy applies to all services offered by WMH Project and its subsidiaries.
It does not apply to services offered by other companies or individuals. It does not cover the information-processing practices of other companies and organisations that advertise WMH Project's services.
2. DATA COLLECTED AND COLLECTION METHOD
WMH Project collects general data and personal data about you:
- Directly from you, when you provide us with your information and contact details;
- Through its Clients;
- Through participants in the meetings and events it organises;
- Through users of its website or those of its Clients; and through third parties.
Upon receipt of the data, WMH Project creates an electronic profile for each person or entity (the "Contact Profile") in its tools.
The Contact Profile may include, in particular: name, gender, date of birth, address, telephone numbers, email addresses, nationality, physical-location data during an event, dietary preferences or allergies, emergency contact information, employer name and/or job title, business sector and/or interests, credit card references/numbers, travel destinations, travel itineraries, travel preferences, accommodation preferences, passport information, visa information, additional information requested by Clients, company headcount, company revenue, company incorporation date.
By taking part in an event, the data subject consents, free of charge and without any consideration, to the use, reproduction, modification and distribution, on any existing or future medium, of the audio and visual recordings made in connection with the event.
3. PURPOSES OF DATA COLLECTION
WMH Project and its subsidiaries use the data collected to ensure, maintain, protect and improve the overall quality of their services. WMH Project and its subsidiaries limit data collection to what is strictly necessary.
a) Bookings and online registration: Contact Profiles are kept in a database as a reference record. Legal basis: consent, contract.
b) Consolidation of travel data: at a Client's request, WMH Project and/or its subsidiaries may prepare information reports. Legal basis: consent, legitimate interest.
c) Travel policy compliance: at a Client's request, WMH Project and its subsidiaries may produce a report on compliance with the applicable policy. Legal basis: consent, legitimate interest.
d) New products and services: with a view to improving its services, WMH Project and its subsidiaries may send you additional information. Legal basis: consent, legitimate interest.
e) Promotion and marketing: WMH Project and its subsidiaries may use your data to personalise your experience on their website. Legal basis: consent, legitimate interest.
f) Technical data: WMH Project collects this data via the Matomo statistical analytics tool, with respect for users' privacy. This data is evaluated for purely statistical purposes and only in anonymised form. Legal basis: consent, legitimate interest.
g) Other purposes: WMH Project and its subsidiaries may use your data for such purposes as they deem necessary or appropriate in accordance with applicable law. Legal basis: consent, legitimate interest.
4. THE AGENCY'S OBLIGATIONS AS A DATA PROCESSOR
a) General: WMH Project and its subsidiaries undertake to process the data solely for the purpose(s) covered by the processing engagement, in accordance with the Client's documented instructions; to guarantee the confidentiality of the data; to ensure that authorised persons respect confidentiality; to take into account the principles of data protection by design and by default; and to keep a record of processing operations.
b) Sub-processing: To deliver its services, WMH Project and its subsidiaries use their own sub-processors. Subsequent sub-processors are required to comply with the obligations of the Contract. WMH Project remains fully liable for the performance by other sub-processors of its obligations.
5. RETENTION PERIOD
WMH Project and its subsidiaries will retain general data and personal data for a maximum of five years in an active database in the absence of any specific legal requirement.
WMH Project and its subsidiaries will retain job applicants' data for a maximum of two years.
You may cancel/delete your WMH Project account by sending an email to dpo@wmhproject.fr.
6. STORAGE LOCATION AND DATA CONTROLLER
Contact Profiles are stored in central cloud databases through the physical facilities of third-party providers located in Europe.
Providers: Captag, Netkin, SpotMe, NewTelaps, Digitevent, Newbeatprod, Dromis, Viewon.
Internally, Fabien SINET is the person responsible for the processing of our database.
Your data will only be transferred outside the European Economic Area once adequate safeguards have been put in place.
7. YOUR OBLIGATIONS
You must ensure that the data you provide to us is: correct, accurate, up to date, truthful and compliant with all applicable laws.
WMH Project and its subsidiaries will not use their digital assets to target minors under fourteen (14) years of age.
8. DATA TRANSFER AND DISCLOSURE
A) General provisions: The WMH Project group and its subsidiaries have offices in Europe and Asia. Your personal data may be transferred to and from Switzerland, including to countries where data protection laws may differ.
1) Transfers within the WMH Project group in support of its activities and/or services.
2) Transfers to third parties: WMH Project engages certain third parties for support services in connection with its services.
3) Regulatory transfers: WMH Project may be legally required to transfer data to governments and regulatory authorities.
B) Electronic data transfer: If you visit one of the websites belonging to WMH Project, your data will be transmitted over an open public network.
9. SECURITY AND ORGANISATIONAL MEASURES
WMH Project and its subsidiaries have implemented adequate technical, contractual, administrative, physical and organisational measures to protect your personal data against any loss, destruction, unauthorised access, and any accidental or unlawful disclosure or alteration.
10. YOUR RIGHTS
In accordance with applicable laws, you have the right of access, rectification, restriction of processing and objection, as well as the right to data portability and the right to lodge a complaint with the supervisory authority.

11. AMENDMENTS
WMH Project may revise and update this Policy in order to comply with applicable laws. WMH Project will publish any changes made on its website.
